Teaching AI About Your Business: Knowledge Bases, RAG and Your Own Data

26 September 2026·4 min read

Out of the box, AI knows a lot about the world and nothing about your business. Connecting it to your own documents and data is what turns generic answers into useful ones, and it is simpler than most people think.

The most common complaint we hear about AI at work is that the answers are generic. Ask it to draft a proposal and you get something that could have come from any company in your sector. Ask about your pricing and it guesses.

That is not a flaw in the AI. It simply has not been told anything about you. Step 3 of our six-step guide to AI implementation fixes this by connecting AI to your own knowledge.

Why AI needs your data

General AI models are trained on vast amounts of public information. They understand language, reasoning and most industries at a general level. What they do not know is your services, prices, processes, tone of voice, past projects or clients.

Giving AI access to that knowledge changes the output from "plausible" to "accurate and specific". It is the single biggest improvement most businesses can make, and it rarely requires any custom development.

Four ways to give AI your knowledge

1. Projects and custom assistants

The simplest option. Most business AI tools let you create a workspace, upload key documents and write standing instructions. Everyone who uses that workspace gets answers grounded in the same material.

Good for: Teams getting started, specific departments or individual clients.

2. Connectors to where your data already lives

Instead of uploading copies, you connect the AI to SharePoint, Google Drive, your CRM or your helpdesk. It searches the live source when answering, so information stays current.

Good for: Businesses with well-organised shared drives and systems.

3. A knowledge base with retrieval (RAG)

Retrieval Augmented Generation, usually shortened to RAG, sounds technical but the idea is simple. When someone asks a question, the system first finds the most relevant passages from your documents, then gives those passages to the AI to write the answer. The answer is grounded in your content and can point to its source.

This is how a good AI customer service agent works: it answers from your website, FAQs and policies rather than from general knowledge, and says so when it does not know.

Good for: Customer-facing assistants, internal help desks and any use where accuracy and sources matter.

4. Fine-tuning a custom model

Training a model further on your own data. Large enterprises use this for very specialised language or high-volume tasks. For most SMEs, it is unnecessary: the three options above deliver most of the value at a fraction of the cost and complexity.

What to put in first

Start with the documents your team reaches for most often:

  • Service descriptions and what is and is not included
  • Price lists and quoting rules
  • Frequently asked questions from customers
  • Policies and procedures
  • Templates for proposals, reports and emails
  • Your three or four best past proposals or case studies
  • A short guide to your tone of voice

Ten well-chosen documents beat five hundred random ones.

Preparing your data

AI can only be as good as what you give it. Before connecting anything:

  • Remove out-of-date material. An old price list will be quoted as confidently as the current one.
  • Keep one source of truth. If three versions of a policy exist, delete two.
  • Use clear file names and headings. They help the AI find the right passage.
  • Check permissions. If the AI can reach a folder, anyone using it may be able to see what is inside. HR and finance files usually need separating.

Keeping it current

A knowledge base is not a one-off project. Give it a named owner, set a monthly review, and add new material whenever prices, services or policies change. When staff spot a wrong answer, fix the source document rather than just correcting the reply.

How we can help

We build knowledge bases and AI assistants inside your own systems, so you own the content and the setup. Our AI Ops Audit identifies which knowledge to connect first for the biggest gain.
